Community Room Policy

Rockland Public Library

Meeting / Public Program / Event Policy Guidelines

The Rockland Public Library has room space available for meetings, programs and exhibits hosted by community groups or individuals (hereinafter referred to as “user”). These meetings, programs and exhibits should provide an opportunity to further the Library’s Mission : to build community, preserve history, and nurture the life of the mind.  Library meetings and library-sponsored events will be given priority in the use of this space.  The library may choose to co-sponsor programs that are organized by other groups. Please be aware of the following:

  • Meeting rooms are reserved on a first-come, first-served basis. A fee may be charged for use of the rooms. Please see fee schedule below.
  • Admission fees may not be charged without prior approval of the Library. No products or services may be advertised, solicited, or sold on library property without prior approval of the Library. In keeping with the Mission of the Library, information may be distributed at no charge.
  • The provision of meeting rooms for public events does not constitute Library endorsement of the user or of the beliefs or ideas expressed by the user of the space.
  • Events will not be publicized in a manner that suggests Library sponsorship or affiliation. The following statement MUST be present on all flyers, etc., advertising the event: This event/meeting is not sponsored by The Rockland Public Library and the Library is in no way affiliated with, nor liable for, the content or organization of this event.
  • The Library does not assume liability for injuries to persons or damage to personal property which may occur as a result of the actions of those participating in events in Library facilities.
  • The user shall defend, indemnify, and hold the City of Rockland, the Rockland Public Library, their officials, agents and employees harmless from and against any and all claims, proceedings, costs or expenses (including without limitation court costs, attorney fee and expenses, settlements, fines, penalties or otherwise) arising directly or indirectly out of or in connection with the user’s use of the Library space.
  • Smoking and alcoholic beverages are prohibited in Library facilities.
  • Users are responsible for setting up chairs and tables, and are responsible for leaving rooms clean and in good repair. Users are liable for any damage to the rooms. The Library may assess charges for damage or cleaning if necessary.
  • Meeting rooms will be available to the public on equal terms, regardless of the beliefs or affiliations of users.
  • Meeting rooms are available during the hours that the library is open, unless special arrangements are made with the Director.
  • Users requesting use of room space must fill out an application at least seven days in advance of the scheduled event. An officially designated representative of the user group or the individual user must sign the application.
  • An overhead projector, VCR/DVD player, slide projector, and screen are available to users of the meeting rooms by prior arrangement with the Library. A refundable security deposit may be assessed. Please see fee schedule below.
  • Light refreshments may be served at events. A refundable cleaning deposit may be assessed. Limited kitchen facilities are available by prior arrangement.

Fee schedule:

Board Room (smaller) - $5 per hour; $10 per hour if food is served

Community Room (larger) - $10 per hour;

$20 per hour if AV equipment is used or if food is served

$50 maximum for ½ day use

$75 maximum for all day use

$50 refundable security deposit if food is served or for use of AV equipment.

Rates for AFTER-HOUR use of either room are $30 per hour and are to be scheduled at the discretion of the Library Director.
